As promised, here are some screen shots of some of our recent development progress. If you have questions on any of this please feel free to reach out ASAP... no need to wait until the next focus group meeting!
1. Invoice Context and Tabs
When vendors are loading new invoices or customers are reviewing new invoices, knowledge of recent activity between vendor and customer is required.
What has happened with recent invoices?
Is the current invoice I'm looking at close to the same amount?
Does the invoice date match the typical frequency from this vendor?
In Energy Payables, you will be able to answer these questions with one click access to recent activity between the current invoice's vendor and customer.
It opens in a NEW TAB in your web browser. From there you can arrange your screen to view your current invoice and the Invoice Context at the same time.
Here is our work in progress Invoice Context screen. The pink square indicates the invoice you are currently working on.
Click on any invoice in the chart and see more detail below the chart, including a link to open that invoice in a NEW TAB.
The 6 icons on the right will be used through the system so status can be seen at a glance. It is clickable to show who has done what / when.
You can also click and drag on the chart to zoom into a smaller area. If less than 20 invoices are selected they are shown directly below the chart.
By default, the chart will only show invoices that match your your workflow profile (still being developed).
2. Attachments
Attachments of common types (images, excel, word, pdf) are displayed directly on the screen, one attachment per tab. All text, handwritten on a photo or raw excel data, will be searchable via a full text search. Other uncommon file attachments will be available for download.
For simplicity of display, word and excel attachments will be displayed as pdfs, but the original files can be downloaded as xlsx / docx and will also be accessible via API.
Regardless whether attachments are uploaded directly into the app by a person or via the API, the attachment uploader will prevent duplicate files from being uploaded.
